Associate Director, HCP Engagement Operations

 

The Associate Director, HCP Engagement Operations is an operational leader responsible for designing, governing, and overseeing a compliant, efficient, and scalable end‑to‑end enterprise-wide Healthcare Professional (HCP) engagement and consulting model within the U.S. This role serves as a central point of accountability for HCP engagement operations, ensuring operational excellence, audit readiness, and a consistent, high‑quality experience for both internal stakeholders and external experts.

This role partners closely with Legal, Compliance, Finance, Procurement, Medical, and Commercial teams to standardize processes, enhance operational efficiency, and support enterprise priorities.

 

Key Responsibilities

 

  • Set strategy and success metrics for a centralized, enterprise HCP engagement operating model; translate engagement strategy into scalable execution aligned to policy and external standards.
  • Drive cross-functional harmonization of HCP engagement processes to reduce cycle time, variability, and compliance risk while improving stakeholder experience.
  • Provide end-to-end operational oversight of the HCP engagement lifecycle (onboarding and due diligence through FMV, contracting, deliverable review, expense audit, and payments), ensuring consistent, compliant execution.
  • Establish governance, standards, and controls to ensure audit-ready contracts, deliverables, and payments; serve as a trusted advisor to Legal, Compliance, Finance, Procurement, Medical, and Commercial partners.

 

Strategic Leadership & Operating Model Design

 

  • Define and execute the vision, roadmap, and success measures for a centralized HCP engagement operating model.
  • Lead the harmonization and standardization of HCP engagement processes across functions, reducing variability, cycle time, and compliance risk.
  • Translate enterprise HCP engagement strategy into scalable operational execution aligned with internal policies and external regulations (e.g., PhRMA).
  • Act as an advisor to cross‑functional stakeholders on HCP engagement utilization and risk management.

 

End‑to-End HCP Engagement Operations Oversight

 

  • Provide oversight and management for the full lifecycle of HCP engagements, including onboarding, due diligence, fair market value (FMV), contracting, deliverable review, expense auditing, and payment processing.
  • Ensure all HCP engagement requests are reviewed for completeness, clarity, and compliance, providing guidance to stakeholders to resolve gaps.
  • Establish standards and controls to ensure contracts, deliverables, and payments are audit‑ready and consistently executed.

 

Governance, Compliance & Audit Readiness

 

  • Serve as a primary point of contact for compliance oversight of HCP engagements across supported functions.
  • Establish and maintain governance structures, SOPs, and Work Process Instructions (WPIs) to support consistent, inspection‑ready execution.

 

Stakeholder Partnership & Service Excellence

 

  • Act as a point of contact for internal stakeholders and external HCPs, ensuring transparent communication and seamless engagement experience.
  • Build trusted partnerships with key cross-functional stakeholders such as Commercial, Medical, Legal, Compliance, Finance, and Procurement teams to support planning, execution, and issue resolution.
  • Design and implement training and enablement programs to ensure stakeholders understand processes, systems, and compliance expectations.
  • Champion a customer‑service‑oriented, service model that balances efficiency with precision and professionalism.

 

Data, Analytics & Continuous Improvement

 

  • Define KPIs, dashboards, and performance metrics to monitor engagement volume, turnaround times, payment performance, and compliance adherence.
  • Leverage data and analytics to identify trends, risks, and opportunities for process optimization and automation.
  • Evaluate and advance technology solutions (e.g., contracting, payment, and workflow platforms), including consideration of automation and AI to improve scalability.

 

Qualifications

 

Required

 

  • Bachelor’s degree required.
  • 6 – 10 years of experience in pharmaceutical / biotech operations, HCP engagement or marketing operations.
  • Demonstrated experience in HCP Contracting and Payments is required, including hands‑on oversight of consulting agreements, expense auditing, and payment execution.
  • Strong prior experience supporting Medical Affairs, R&D Operations, or HCP engagement operations within a regulated environment.
  • Deep understanding of end‑to‑end HCP engagement processes, including onboarding, due diligence, FMV assessment, contracting, and coordination in partnership with Compliance and appropriate country or regional leads, with Compliance and appropriate country or regional leads, transparency reporting, and closeout.
  • Proven track record of designing, operationalizing, or scaling frameworks, processes, or Centers of Excellence in an enterprise, matrixed organization.
  • Experience partnering cross‑functionally with Medical, Clinical, Commercial, Compliance, Legal, Finance, and Procurement teams.
  • Strong working knowledge of global regulatory, compliance, and ethical standards governing HCP interactions (e.g., FDA, PhRMA).
  • Experience with contract development and lifecycle management within a highly regulated environment is required.

  • Experience in specialty or rare disease environments.

U.S. Pay Range

$158,200.00 - $214,000.00

The pay range reflects the full-time base salary range we expect to pay for this role at the time of posting. Base pay will be determined based on a number of factors including, but not limited to, relevant experience, skills, and education. This role is eligible for an annual short-term incentive award (e.g., bonus or sales incentive) and an annual long-term incentive award (e.g., equity).
