The Manager, US Meetings Management plays a key role in the planning, execution, and continuous improvement of meetings and events in support of business and brand objectives. This role partners closely with cross-functional stakeholders to deliver high-quality, compliant programs while driving operational consistency and efficiency across the meetings management function.
The Manager is responsible for end-to-end program execution, budget management, and vendor coordination, ensuring seamless delivery and a strong stakeholder experience. This individual contributes to process improvements, supports best practice implementation, and helps drive alignment across teams.
Overview
The Manager, US Meetings Management is responsible for leading the end-to-end planning and execution of meetings, events, and congresses in alignment with organizational priorities. This role works closely with stakeholders and cross-functional teams to deliver impactful, compliant, and well-executed programs that meet defined objectives.
This individual supports operational excellence by executing established processes, applying best practices, and identifying opportunities for continuous improvement. The Manager plays a critical role in ensuring consistency, efficiency, and high-quality delivery across programs.
The role requires a highly organized and detail-oriented professional with strong project management and communication skills, capable of managing multiple programs simultaneously in a fast-paced environment. The Manager effectively collaborates across teams, builds strong working relationships, and ensures alignment across stakeholders.
This position serves as a key contributor within the meetings management function, balancing hands-on execution with proactive problem-solving, while supporting broader team and organizational goals.
Key Responsibilities
- Partner with Stakeholders and Program Leads to define meeting and event objectives, ensuring alignment on goals, expectations, and deliverables.
- Lead end-to-end planning and execution of meetings, events, and congresses, ensuring high-quality delivery and a seamless attendee experience.
- Develop and manage program budgets, including tracking, forecasting, and reconciliation, ensuring adherence to financial guidelines.
- Support hotel and venue sourcing, contract review, and negotiations to ensure alignment with program objectives and budget.
- Oversee all logistical components of program delivery, including vendor management, speaker coordination, audio-visual production, technology tools (e.g., Cvent), and onsite execution.
- Ensure compliance with all legal, regulatory, and corporate requirements, including Sunshine Act reporting and HCP engagement guidelines.
- Drive cross-functional collaboration (e.g., Marketing, Medical, Legal, Compliance, Finance, Travel, and Communications) to ensure seamless execution and alignment throughout the program lifecycle.
- Lead planning meetings, manage timelines, and hold stakeholders accountable to key milestones and deliverables.
- Manage meeting documentation and approval processes, ensuring all required materials and agreements are completed accurately and on time.
- Build and maintain strong stakeholder and vendor relationships to support program success.
- Identify and support process improvement initiatives, contributing to the development and enhancement of SOPs and best practices.
- Support administrative and operational tasks, including purchase requisitions, change orders, and sponsorship coordination.
- Perform additional responsibilities as needed, contributing to team priorities and overall program success.
Qualifications
- Bachelor’s degree required.
- 5+ years of experience in meetings and events management, with biotech/pharmaceutical industry experience preferred.
- Hands-on experience with meetings management tools and technology (e.g., Cvent required).
- Strong financial acumen with experience managing program budgets.
- Excellent organizational and project management skills, with the ability to manage multiple priorities effectively.
- Strong verbal and written communication skills, with the ability to collaborate across cross-functional teams and engage with stakeholders.
- Proven ability to work in a fast-paced environment and deliver high-quality results under tight timelines.
- High level of professionalism and commitment to delivering exceptional service.
- Knowledge of Sunshine Act reporting requirements and pharmaceutical industry guidelines related to HCP engagement and hospitality compliance.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to travel and provide onsite support, for meetings and events as needed.
U.S. Pay Range
$113,900.00 - $154,100.00
The pay range reflects the full-time base salary range we expect to pay for this role at the time of posting. Base pay will be determined based on a number of factors including, but not limited to, relevant experience, skills, and education. This role is eligible for an annual short-term incentive award (e.g., bonus or sales incentive) and an annual long-term incentive award (e.g., equity).
