Executive Assistant, Legal and Safety & Risk Management

 

Overview

 

Alnylam is hiring an Executive Assistant to provide support to R&D and Commercial Legal Leadership and to the Safety & Risk Management (SRM) leadership based in Europe and to ensure smooth operations, coordination, and administrative efficiency within the respective teams based in Europe and United States.

This role, that has a dual reporting into the SVP General Counsel, R&D and Commercial and the SVP, Safety & Risk Management,  and requires exceptional time management skills, confidentiality, and the ability to work flexibly across multiple time zones. This position is will be located in Zug, Switzerland.

 

 

Key Responsibilities

 

  • Provide comprehensive, end‑to‑end support to the SVP General Counsel, R&D and Commercial and SVP, Safety & Risk Management based in Zug (Switzerland), including:
    • Act as a point of contact for internal and external stakeholders, ensuring professional and timely communication
    • Prepare and format confidential correspondence, presentations, and reports
    • Monitor task follow-up and ensure deadlines and actions are met for ongoing projects
    • Manage complex calendar, including scheduling internal and external cross-regional meetings (proactively address conflicts, anticipate and prioritize meeting needs)
    • Coordinating travel plans and logistics, manage expenses report preparation, filing and control in alignment with T&E policy and approvals and prepare and submit working time entries
    • Support with other administrative tasks as needed, including for example:
      • Day-to-day tasks: printing materials, IT requests, etc.
      • Coordinating external guests visits
      • Reviews and approvals of direct reports’ Success Factor worktimesheet
      • Controls and approvals of direct reports’ expenses
      • Introduction of new legal vendors into the Brightflag Matter Management/eBilling system and support to budget management and oversight
      • Coordinate and manage documentation for SRM service providers and consultant contracts
      • Collaborate with Finance colleagues to facilitate monitoring of SRM department budget and enable periodic reviews
  • Provide broader administrative and operational support to R&D and Commercial Legal, and Safety & Risk Management teams, including assistance with contract processes, document execution processes (including collection and tracking of signatures, notarizations, and file archiving), document and matter management systems, vendor management coordination, budget and spend monitoring, and other and other functional support activities as necessary
  • Arrange and provide support for departmental meetings, team events, and training sessions (both virtual and in-person), including planning and execution, agenda preparation, notes taking and catering arrangements
  • Participate to the Executive Assistants group trainings and events, building collaborative networks across the company, identifying shared solutions and improvements to the Alnylam administrative domain, including testing and developing innovative AI solutions.

 

 

Qualifications

 

  • Degree in administration with a demonstrated experience supporting senior leadership in a legal, corporate, or regulated environment, preferably in the life sciences industry
  • Strong organizational, communication (verbal and written) and problem-solving skills
  • Excellent attention to detail and ability to manage sensitive information with discretion.
  • Demonstrated ability to prioritize multiple tasks in a fast-paced, international setting.
  • Knowledge of MS Office applications including MS PowerPoint, Excel and Word
  • Advanced English language knowledge, oral and written; additional languages a plus.
  • Availability for periodic early or late calls to accommodate U.S. and European time zones.
  • Ability to take initiative, being highly proactive and flexible with a collaborative, strong team player mindset.
  • Reliable and service-oriented, with  a commitment to maintaining high professional standards and perform accurate and complete work, within deadlines, with or without direct supervision
  • Flexible in adapting to new systems, tools, and scheduling demands.
  • Sense of urgency, ethics, responsibility and ability to exercise good judgment; solution-oriented across a variety of situations in a growing, fast-paced organization
